IEPPEC Planning Committee

Being a member of the planning committee is a win/win proposition for you personally and professionally. IEPPEC offers high level/value resources to the evaluation community at no charge. By being a part of this committee you are part of a team of evaluation experts that you can call on to address evaluation issues as they come up.
Conference Planning
(Level of Effort–ongoing, but minimal)
• Participate in periodic conference calls regarding conference planning issues
• Suggest sponsorship contacts to the Funding subcommittee
Outreach
(Level of Effort–ongoing, but minimal)
• More effort closer to the conference date to encourage registration
• Add a signature line to your e-mails:
o Member of the International Energy Programme and Policy Evaluation Conference 2018
Planning Committee Duties
• Promote traffic to the website to help raise awareness of the program
• Refer people to the papers on the website from our past events in Paris, Rome, Berlin and Amsterdam
• Mention the conference in talks, presentations, and conversations
• Forward email addresses to the conference coordinator for mailing list maintenance
• Identify and secure, if possible, new mailing lists or organizations
• Recruit attendees, particularly people new to the field, or colleagues who could benefit from our work, such as program designers and implementers
Call for Abstracts
(Level of Effort–Minimal during the months of August through November)
• Assist with call for abstracts promotional efforts
• Distribute copies of the Call for Abstracts and alert and encourage colleagues who have conducted recent significant work to submit abstracts
Conference Program Planning
(Level of effort–during a conference year, expect to spend about 25 hours on this task. Note: There may be a 1 and ½ day planning meeting held in the venue city)
• Participate in periodic conference calls regarding conference planning issues.
• Review and score abstracts as part of a team, December 2017- January 2018
• Participate in the PC meeting, February 2018, by phone or possibly on-site
Serve as a moderator of a session or panel.
• Be a model moderator by following the Moderator Guidelines
• Work with authors/panelists to prepare their materials
• Possibly act as a mentor to a moderator that is not a PC member
• Help develop a conference where attendees have plenty of opportunities to network and have fun, in addition to getting access to useable evaluation information
Conference Attendance
(Level of effort–assume that you would attend in time to participate in any activities that might be scheduled for the day or evening prior to the conference and through the final day’s debriefing luncheon)
• Be a model attendee in registering early, making travel reservations early, etc.
• Greet new attendees and help them feel at home.
• Ask for feedback about all aspects of the conference and pass along the information to the conference chairs and the conference coordinator.
• Attend the post-conference debriefing luncheon on the last day of the conference.Being a member of the planning committee is a win/win proposition for you personally and professionally.
